01 Acceptance of these Terms

These Terms of Use (the “Terms”) govern your access to and use of FirehallDB and the related websites, applications, and services (together, the “Service”) provided by Fire Line Ops Incorporated (“Fire Line Ops,” “we,” or “us”).

By accessing the Service, or by signing an order form that references these Terms, you agree to be bound by them on behalf of your hall, department, agency, or organization (“you” or the “Customer”). If you do not agree, you may not use the Service.

Plain-language summary Using FirehallDB means you accept these Terms. The summaries in shaded boxes are for convenience only — the numbered text is what governs.

02 Definitions

Capitalized terms have the meanings given where they first appear, and the following meanings throughout:

  • Customer Data means the records you submit to the Service, including incident, apparatus, inspection, personnel, training, and attendance records.
  • Authorized User means an individual you permit to access the Service, such as a member, officer, or administrator of your hall.
  • Documentation means the operating guides and specifications we make generally available for the Service.
  • Order Form means an ordering document executed between you and us that references these Terms.

03 The Service

FirehallDB is a system of record that lets halls track incidents, apparatus and apparatus inspections, personnel, training records, and attendance, and surfaces metrics derived from those records. We grant you a non-exclusive, non-transferable right to access and use the Service during your subscription term, solely for your internal emergency-services operations and in accordance with the Documentation.

3.1 Service scope

The Service is the hosted application described in your Order Form. It does not include any on-premise software, hardware, or radio/dispatch integration unless expressly stated in an Order Form.

3.2 Beta features

We may offer features identified as beta, preview, or evaluation. Those features are provided “as is,” may change or be withdrawn, and are excluded from the availability commitments in Section 7.

04 Accounts & access

You are responsible for configuring Authorized User accounts and for the acts and omissions of your Authorized Users. You will require each Authorized User to keep credentials confidential and to use the Service in compliance with these Terms.

  • You will promptly deactivate accounts for individuals who leave your hall or change roles.
  • You will notify us without undue delay of any suspected unauthorized access to your account.
  • You will not share a single account among multiple individuals.

05 Customer Data & ownership

As between the parties, you own all Customer Data. You grant us a limited license to host, process, and transmit Customer Data solely to provide and support the Service, and to produce aggregated, de-identified statistics that do not identify you or any individual.

We retain and delete Customer Data according to the categories below. On termination, you may export your Customer Data for the period stated, after which we will delete it in the ordinary course.

06 Acceptable use

You will not, and will not permit any Authorized User to:

  • use the Service in violation of applicable law or the rights of others;
  • upload data you are not authorized to share, or that you know to be inaccurate in a way that compromises the record;
  • probe, scan, or test the vulnerability of the Service except under a written authorization from us;
  • resell, sublicense, or provide the Service to third parties outside your hall; or
  • interfere with the integrity or performance of the Service or the data of other customers.

07 Availability & support

We target 99.9% monthly availability for the production Service, excluding scheduled maintenance announced in advance and events outside our reasonable control. Support is provided during the hours and at the response targets stated in your Order Form or the applicable support policy.

Because halls rely on the Service during time-critical operations, we maintain documented backup, failover, and incident-response procedures, and will notify affected customers of material Service incidents without undue delay.

08 Privacy & security

Our handling of personal information is described in our Privacy Policy, which forms part of these Terms. We maintain administrative, technical, and physical safeguards designed to protect Customer Data, including encryption in transit and at rest, role-based access controls, and audit logging.

Where we process personal information on your behalf, we do so as your processor and only on your documented instructions, except as required by law.

09 Disclaimers & liability

The Service is a record-keeping and analytics tool. It is not a dispatch, alerting, or life-safety system, and must not be relied upon as the sole means of responding to an emergency. Except as expressly stated, the Service is provided “as is” and we disclaim all implied warranties to the fullest extent permitted by law.

To the maximum extent permitted by law, neither party will be liable for indirect, incidental, special, or consequential damages, and each party’s aggregate liability arising out of these Terms will not exceed the fees paid or payable for the Service in the twelve months before the event giving rise to the claim.

10 Changes to these Terms

We may update these Terms from time to time. If we make a material change, we will provide reasonable notice — for example, by posting the updated Terms with a new effective date or by notifying your administrators. Your continued use of the Service after the effective date constitutes acceptance of the updated Terms.
